Carmody Groarke is looking for a Studio Assistant who will work as part of the studio team with direction from the Studio Director, working closely with the EA/Team Coordinator. The role involves a range of administrative tasks to facilitate the smooth running of the studio.
Experience:
- Entry level role. The role is a great opportunity for an individual to become fully immersed in the workings of an exciting architectural practice.
Responsibilities:
- Positively contributing to the studio through a range of day-to-day administrative responsibilities, maintaining a well organized, tidy and presentable studio environment at all times.
- Managing studio supplies, maintaining equipment and ordering replacements as and when needed, ensuring the studio remains well stocked.
- Answering the phone, receiving and distributing post and orders, meeting and greeting guests.
- Preparing meeting rooms, setting up client presentations and organizing refreshments.
- Acting as first point of contact for all contractors relating to the studio environment, i.e. cleaners, security company, ad hoc plumbers/electricians etc.
- Liaison with IT consultants to ensure maintenance of equipment and software, escalating any issues as required. Coordination and allocation of software licenses.
- Studio Assistants should work with a proactive and can-do attitude, being approachable, personable and be able to work flexibly in accordance with the needs of the studio.
- You will be expected to offer assistance in a variety of areas in order to ensure the studio runs
smoothly, trouble-shooting a variety of issues and coming up with solutions accordingly. - Supporting project teams with relevant tasks as required, including organizing pin ups and displays for design reviews, model archiving etc.
- Monitoring the studios shared mailboxes regularly, redirecting emails to the relevant team members in a timely manner.
- Organizing taxis, couriers and architectural model transportation.
- Maintaining health and safety supplies and records, organizing annual risk assessments and maintaining compliance by following up on actions identified.
- Organizing events for the studio including trips, summer and Christmas parties.
- Ordering studio printing materials, i.e. business cards, compliment slips. Assisting the new business and communications teams to distribute booklets and publications as required.
- Oversight of the studio offsite archive, maintaining accurate records and organizing model storage and transportation when needed.
- Studio Assistants will have an in-depth knowledge of the practice, proactively assisting the team through a range of operational tasks. You will be required to ensure that the studio is well maintained and kept presentable at all times, prioritizing client and visitor experience and acting in a professional manner at all times.
