HCMA Architecture is hiring a Project Coordinator with 2-4 years of experience in the AEC industry to support project management across architectural service delivery. You’ll be based out of the Vancouver office. This is a significant opportunity to ensure projects are well-resourced, efficiently set up and run smoothly from start to finish. This role involves working with cross-functional teams to support the delivery of high-quality work on time and on budget. The firm is looking for a systems thinker with strong design sensibility, excellent organizational skills and attention to detail.
Responsibilities
- Set up project folders, templates, schedules, budgets, and startup documentation.
- Ensure contracts, scopes, and internal approvals are completed and properly filed.
- Aggregate project data and updates from teams to support scheduling, planning, and resourcing.
- Coordinate with Finance to ensure accurate project data in Ajera and support financial tracking.
- Help coordinate and execute pilot projects across the firm.
- Compile and analyze project metrics to support decision-making and strategic planning.
- Prepare performance reports and insights to guide project and organizational goals.
- Identify resourcing gaps or conflicts and make data-informed recommendations.
- Support the adoption and refinement of project management tools and systems.
Qualifications
- Bachelor’s degree in Architecture, Engineering, Business Administration, or related field; relevant experience and project management certifications may substitute for a degree.
- 2-4 years of experience in project coordination, operations, or administrative support, ideally within the AEC industry.
- Familiarity with project management systems (preferable Deltek Ajera) and proficiency in Microsoft Office Suite; experience with data visualization tools is a plus.
- Strong organizational, communication, and interpersonal skills, with the ability to manage multiple priorities and collaborate with senior leaders.
- Understanding of business principles with potential to grow into architectural service delivery knowledge.
- Detail-oriented, systems-minded, and comfortable adapting to evolving platforms and shifting priorities with a proactive and resilient approach.
